This is the Privacy Policy for titanuc.com and the business phone services we sell ("Service"). It explains what information we collect, why we collect it, who we share it with, and what choices you have. We tried to write it in plain English so a small business owner can read it once and know what is happening.

1. Who we are
TitanUC Communications is a small business based in Tulsa, Oklahoma. We sell cloud business phone service (VoIP, hosted PBX, SIP trunks, voicemail, faxing) to other small and medium businesses. We are the data controller for the information collected through titanuc.com and through our customer accounts.
Our service area is the United States. We do not actively market or target users in the European Union, the United Kingdom, or California. If you are visiting from one of those regions, parts of this policy still apply, and you can email us with any privacy request.
2. What information we collect
We only collect what we need to run the business and serve you. The categories below cover everything.
2.1 Information you give us directly
- Account and billing information: name, business name, billing address, phone number, email address, and the payment method you use at checkout.
- Identity verification: when toll-fraud risk or card fraud is a concern, we may ask for a copy of the credit card used to pay or a government-issued photo ID. This is used to confirm identity, then deleted or stored only as long as needed. We do not store full copies of government IDs or credit card images on our primary web servers; once we have verified your identity, those images are either deleted or moved to encrypted storage with restricted access.
- Order and service information: the plan you bought, number of users, phone numbers (DIDs) on the account, equipment shipped to you, and any add-ons.
- Support and sales correspondence: anything you write to us by email, by phone, or through a contact or quote form on the site. This includes voicemail you leave for our sales line.
- Demo bookings: if you book a demo, we collect your name, email, and the meeting time.
2.2 Information collected automatically when you visit titanuc.com
- Server and security logs: IP address, user agent, the page you requested, and the time of the request. Standard web server log information.
- Cookies and similar: WooCommerce uses session cookies to keep your cart working at checkout. We use a small number of functional cookies. We do not run cross-site advertising trackers.
- Performance data: Cloudflare (our content delivery and DNS provider) logs request information for security and performance purposes.
- Search engine and webmaster tool data: aggregated data about how titanuc.com appears in Google and Bing search results, with no personally identifying information about visitors.
2.3 Information generated by using the phone service itself
When you place or receive calls on the Service, our underlying carrier creates Call Detail Records (CDRs). These contain the calling number, called number, time, duration, and call type. They are needed to bill the call and to comply with FCC and state telecom record-keeping rules. We can see your CDRs through the carrier portal. We do not record the content of calls unless you turn on the call-recording feature for your own account.
3. Why we collect it
We use the information for the following purposes:
- To provide the Service: create your account, route calls, ship equipment, send bills, and provide support.
- To process payments: through our payment processor (see Section 4).
- To prevent fraud and abuse: verify identity, watch for toll fraud or unauthorized use, and respond to network security incidents.
- To communicate with you: answer questions, send order confirmations, send service notices, send the occasional product update or follow-up if you asked us to.
- To improve the site and the Service: look at how the website is performing, where bugs are, and what pages people read. We do this with aggregated data, not individual profiles.
- To meet legal and regulatory obligations: FCC rules, telecom recordkeeping, tax and bookkeeping, and responses to lawful subpoenas or court orders.
4. Who we share it with
We do not sell your personal information. We share it only with the service providers we need to run the business. Each provider is bound by their own privacy and security obligations.
4.1 Payment processor
Card and bank information is processed by Stripe. When you check out, your payment details go directly to Stripe and are not stored on our servers. We see only the last four digits, the card brand, and the result of the charge. Stripe's privacy policy is at https://stripe.com/privacy.
4.2 Underlying telecom carrier
We are a white-label reseller. The actual call routing, voice termination, number provisioning, 911 registration, and CDRs are handled by our wholesale carrier. They receive your account and 911 address information so calls can be placed and emergency services can find you. They do not market to you and do not use your information for any purpose other than providing the underlying service.
4.3 Website and email infrastructure
- WordPress and WooCommerce run titanuc.com. They store your account, orders, and billing details on our hosting.
- Cloudflare is our CDN, DNS, and front-line security provider. They see request metadata.
- Mail-in-a-Box hosts our titanuc.com mailboxes. Email you send to us is stored on our mail server.
- Calendly powers the "Book a Demo" page. If you book a meeting, your name, email, and meeting time go to Calendly.
- Rank Math is the SEO plugin on the site. It does not collect personal information from visitors.
- Google Search Console and Bing Webmaster Tools show us aggregated data about how titanuc.com appears in search. They do not see individual visitor information about specific people.
- YouTube powers the embedded product video on the homepage. When you press play, YouTube may set cookies under its own privacy policy.
4.4 AI-assisted productivity tools
We use third-party AI-assisted tools to help us run the front office. These tools may read and help draft replies to inbound email, help with social posts, and help with customer outreach. The tools work on our behalf, under our instruction, and are bound by their own service agreements. They are not given access to your billing information or your call records, and they do not use your data to train public AI models. If you would prefer not to have AI involved in the back-and-forth on your account, email us at contact@titanuc.com and we will route your correspondence to a human only.
4.5 Legal and safety
We will share information with law enforcement, regulators, or in response to a subpoena, court order, or other valid legal process. We will also share information if we genuinely believe it is needed to prevent fraud, protect our network, or protect someone's safety.
We protect Customer Proprietary Network Information (CPNI) in accordance with the Federal Communications Commission's CPNI rules. CPNI includes information about the calls you make and receive on the Service, the services you subscribe to, and how you use them. We do not share CPNI for marketing purposes outside the categories of services you already buy from us.
4.6 Business changes
If TitanUC is sold, merged, or reorganized, customer information may be transferred to the new owner. We will let you know if that happens, and the policy that governed the data when it was collected continues to apply.
5. How long we keep it
- Account and billing records: for as long as your account is active, plus a reasonable period afterward (typically 7 years) to meet tax and regulatory recordkeeping requirements.
- Identity verification documents: kept only as long as needed to verify your account, then deleted or anonymized.
- CDRs (call detail records): kept by our carrier in line with FCC and state retention rules (typically 18 months or longer where required).
- Support email and voicemail: kept while it is useful, generally up to 24 months.
- Server logs: typically 30 to 90 days, longer if a security investigation requires it.
When the retention period ends, we delete or anonymize the data.
6. How we protect it
We use industry-standard practices: HTTPS on every page of the site, hashed passwords, restricted admin access, two-factor authentication on the WordPress and email administrator accounts, and regular software updates. No system is perfectly secure. If we ever discover a breach involving your information, we will notify you as required by Oklahoma law and applicable federal rules.
7. Your choices
You can do all of the following at any time. The fastest way is to email contact@titanuc.com.
- See what we have on file about you.
- Correct or update your account information.
- Delete your account. We will delete your account information, with the exceptions noted in Section 5 (legal and tax records we are required to keep).
- Opt out of marketing email. Use the unsubscribe link in any marketing email, or email us. Service emails (bills, outage notices, account changes) are part of running the Service and cannot be opted out of as long as you are a customer.
- Opt out of AI-assisted email handling as noted in Section 4.4.
- Refuse non-essential cookies. Most browsers let you block or delete cookies in their settings. The site will still work; the cart may behave differently.
8. Children
The Service is for businesses. We do not knowingly collect information from anyone under 13. If you believe a child has given us information, email us and we will delete it.
9. Do Not Track
We do not respond to browser "Do Not Track" signals. We do not run cross-site advertising trackers in the first place.
10. Changes to this policy
We may update this policy when our tools, services, or laws change. The current version is always posted at https://titanuc.com/privacy-policy/ with the effective date at the top. If a change is significant, we will email customers or post a notice on the site. Continuing to use the Service after a change means you accept the updated policy.

By using the Service, you agree that any privacy-related dispute between you and TitanUC will be governed by the laws of the State of Oklahoma and resolved in the state or federal courts located in Tulsa County, Oklahoma. Oklahoma's Security Breach Notification Act (24 O.S. §§ 161-166) governs how we notify you in the event of a security breach.
